Please note that the terms and conditions set out below are worded pretty formally because of their importance for the comfort and safety of our guests and the smooth running of the business, but please don’t let this put you off as we are a friendly bunch at Dorset Day Trips and are happy to discuss any concerns you may have 🙂

For wedding car hire of the Dorset Day Trips vehicle, this may be seen as a bespoke trip that has been booked and as such all terms and conditions apply as detailed below. Paragraph 4.9 addresses some specific points.

1 General Points

1.1 The terms “we”, “our” and “the business” refer to Dorset Day Trips, a trading name of Enigmus Limited, registered company number 05410750 (England and Wales). The terms “you” and “guest” refers to any individuals booked onto a trip. The terms “trip” and “tour” refers to the specific trip run by Dorset Day Trips that has been booked.

1.2 On making a booking, you agree to be bound by, observe and perform the Terms and Conditions set out. You acknowledge that Dorset Day Trips has the right at its sole discretion to amend these Terms and Conditions without notice, according to the business needs and requirements of Dorset Day Trips.

1.3 The Terms and Conditions set out, and any dispute that may arise with Dorset Day Trips, are governed by English Law.

2 Bookings, cancellations and refunds

2.1 All bookings with Dorset Day Trips must be made in advance, with payment in full for all individuals covered by the booking made in advance via internet banking transfer. By arrangement with Dorset Day Trips, as an alternative, payment in cash may be permissible, with payment due at the start of the trip.

2.2 A guest making a booking must agree to all Terms and Conditions set out here and on payment shall be deemed to have agreed to the Terms and Conditions both by his-or herself and on behalf of any other individuals covered by the booking and payment. All individuals covered by the booking are bound by the Terms and Conditions.

2.3 Bookings are non-transferable and will cover only the guest making the booking and members of his/her party.

2.4 While we will make every effort to run all trips arranged, Dorset Day Trips reserves the right to cancel any trip that has not reached its minimum booking number as advised in booking correspondence or for circumstances beyond our control, advising guests as appropriate. Where possible,an alternative trip will be agreed with the guest. Where this is not possible a full refund will be paid to any guests booked onto a trip where we have had to cancel that trip, though Dorset Day Trips’ liability will be limited to the booking fee paid. We will of course endeavour to give guests as much notice as possible where a cancelled trip arises.

2.5 Website bookings cannot be taken later than 6pm the day before a particular trip is due. Only in exceptional circumstances can later bookings be accepted where a potential guest has contacted Dorset Day Trips direct and has spoken with staff to make a booking.

2.6 Bookings that are cancelled by guests (in full or part) the day before or on the day that the trip is arranged will not be refunded (and if not already made then full payment is still due). Only in exceptional circumstances (eg a cruise ship not being able to dock) will a refund be considered by Dorset Day Trips when a cancellation is made in this time period. Bookings that are cancelled earlier than the day before the trip will be refunded but will be subject to an administration fee of £10 per person covered by the booking being refunded, and such cancellations will only be recognised when these have been acknowledged by a Dorset Day Trips member of staff in writing (this fee may be waived at the discretion of Dorset Day Trips).

2.7 While Dorset Day Trips staff will wait a few minutes for guests to arrive at their agreed pick-up point and time at the start of a trip (and will use contact details received to get in touch if necessary), guests who do not show up before pick-up departure will be deemed to have cancelled their booking and their booking fee will not be refundable. However, if you are running late for genuine circumstances, please telephone Dorset Day Trips and advise us as soon as you can as we may be able to delay or move the pick-up point, but only where this does not inconvenience or adversely affect the enjoyment of other guests on the trip.

2.8 Guests must advise Dorset Day Trips staff on booking whether they have any allergies or injuries/medical conditions that could be relevant during the day, and on the day of the trip must ensure they bring any relevant medication they may need eg antiallergic reaction EpiPen, inhaler, insulin, etc. While Dorset Day Trips staff will have had basic First Aid training, neither they nor Dorset Day Trips can be held responsible or liable for medical emergencies or situations that arise during a trip, particularly those that guests knew beforehand could arise.

3 Pick-ups and drop-offs

3.1 Pick-ups for trips will only be made within the Boroughs of Poole and Bournemouth or elsewhere by prior arrangement only. Pick-up times advised are for guidance only as roadworks, weather conditions or other unforeseen circumstances may delay pickup time, though Dorset Day Trips will make every effort to be at the pick-up point at the allotted time. It is recommended that guests are ready at their pick-up point at least 5 minutes before the allotted time, but rest assured we will try not to leave without you (but see point 2.7)

3.2 Similarly drop-off times at the end of the trip are for guidance only and guests should allow plenty of leeway time for any onward travel plans or other arrangements they may have after the trip, in case there are delays on the return journey. Dorset Day Trips cannot be held responsible for the knock-on effects of any delays in pick-up or drop-off time, and will not be liable whatsoever for any loss (direct or subsequent), damage, delay or inconvenience arising from such delay.

4 Prices and what is included in the booking fee and what isn’t

4.1 The booking fee paid by guests includes:

  • pick-up and drop-off at a pre-arranged place of mutual convenience to the guest and Dorset Day Trips (NB see point 2.7);
  • travel to the sites covered by the particular trip booked (NB see points 5.1 and 8.3);
  • commentary and guidance by a Dorset Day Trips member of staff about the places on the trip;
  • where applicable, a complimentary goodie bag that may or may not be available on the particular trip in question, the contents of which are subject to change.

Any additional items included in the booking fee on any particular trip will be made clear in the details of that trip.

4.2 Space in the Dorset Day Trips vehicle is limited so guests may each only bring one small sized item of luggage on a trip (e.g. a small backpack). Though we will be as accommodating as possible, given the space available additional items may only be brought on board with prior arrangement with Dorset Day Trips.

4.3 Dorset Day Trips will not charge guests any additional administration fees for credit or debit card payments over and above the booking fee, but is not liable for any additional fees that guests may be charged by their bank, credit or debit card provider.

4.4 Unless advised otherwise in the details of a trip, entrance fees to any site visited on any Dorset Day Trips tour are not included in the booking fee. If there is sufficient time at a stop, guests wishing to enter any sites with a separate entrance fee are very welcome to do so, but at their own expense, for which Dorset Day Trips has no liability.

4.5 Unless advised otherwise in the details of a trip, the cost of meals, drinks and refreshments on any Dorset Day Trips tour are not included in the booking fee. An exception to this is any food or drink product that may be included in a complimentary goodie bag that may or may not be available and included in the price of a particular trip. There may be other free refreshments on a particular trip, but this will be at the discretion of the Dorset Day Trips member of staff conducting a tour, who will advise guests clearly if there is any payment due before giving the items to you.

4.6 The prices of trips (ie booking fees) are subject to change by Dorset Day Trips at any time without notice and any discounts or concessions may be altered or withdrawn at any time without notice. However, once a booking has been made and confirmed by Dorset Day Trips then the price agreed will not change, including any discounts or concessions received, unless it is found on the day of the trip that a discount or concession has been given as a result of Dorset Day Trips receiving false information or information in error eg a child discount applied to an adult (>16 years) booking. Any concessions (eg child or senior discounts) are applied in good faith and it is the responsibility of the booking guest to ensure these have been honestly applied. Where errors have occurred and guests have received a concession in error then a further fee (effectively rectifying the lower price) may be payable before a guest can join the trip.

4.7 The contents of any complimentary goodie bag that is available on any particular trip will have no alternative contents available unless advised otherwise by Dorset Day Trips staff on the day.

4.8 No personal insurance for guests or their belongings is included in the booking fee.

4.9 For wedding car hire, the following are included in the booking fee: white ribbons and bows decorating the Dorset Day Trips vehicle as standard (other colours can be arranged if required but may incur a further charge); chauffeured drive to the ceremony; onward drive to the reception including time for photographs if required; time at the reception for further photographs; a round-trip of up to 80 miles from Poole – further distances will incur an additional charge. This package is subject to change.

5 Trip itinerary and stops

5.1 While we will make every effort to take guests to all the destinations on a particular trip itinerary, this may not always be possible and Dorset Day Trips cannot guarantee the order or content of any particular trip. The itinerary of any trip may be subject to change according to weather conditions, road conditions or circumstances where destinations have been closed to the public for their safety or for purposes of renovation. Wherever possible, if any destination cannot be reached on a particular trip then either an alternative place will be visited or more time will be spent at the other sites on that trip, ensuring guests still have a full and enjoyable experience.

5.2 Some places visited by Dorset Day Trips are areas prone to landslip and may have cliff edges and other potential hazards that guests must be wary of. While Dorset Day Trips staff will guide and advise guests as much as possible, guests must also pay attention to any local hazard warnings or guidance and heed any safety advice given at sites visited on a tour. Parents and guardians must ensure that children and dependents are supervised at all times during the duration of a trip. Dorset Day Trips are not liable for any injuries sustained by guests engaged in physical activities of any nature whatsoever during the course of any trip or tour of a stop that forms a part thereof.

5.3 Guests must pay attention to the departure time advised by the Dorset Day Trips member of staff at any stops on the trip. If you have not returned to the Dorset Day Trips vehicle by the end of the allotted time, though we will try to contact you, if your delay is to the detriment of other guests, you may be deemed to have cancelled your trip at that point with no refund available. In these circumstances the vehicle will depart without you and you will have to organise your own onward travel arrangements at your own additional expense, for which Dorset Day Trips will have no liability whatsoever.

5.4 Guests are responsible for all personal belongings and effects during the course of a trip. Dorset Day Trips will have no liability whatsoever for loss or damage occurring to guests’ belongings during a trip, nor the postage cost of forwarding any items temporarily lost and subsequently found by Dorset Day Trips staff.

5.5 Dorset Day Trips will have no liability whatsoever for any loss (direct or subsequent), damage, delay or inconvenience caused as a result of accident or breakdown of the Dorset Day Trips vehicle. Be assured though that we will make every effort to minimise any impact on guests.

6 Children, pets and access

6.1 While children are welcome on our trips, the nature of the tours mean that they are not recommended for children under 6 years old.

6.2 Children under 16 years old must be accompanied by a responsible adult (18 years or older) and be supervised at all times during the course of the trip. 

6.3 Dorset Day Trips will provide booster seats for up to 4 children between 3 and 12 years of age, but please note that our vehicle has lap belts on the seats that children will use, not 3-point belts. Please also note that the Dorset Day Trips vehicle cannot accommodate pushchairs so guests should take this into account when deciding the suitability of the trip for their children.

6.4 The set-up of the Dorset Day Trips vehicle means that unfortunately it cannot accommodate wheelchairs.

6.5 Pets are not allowed on trips unless by special arrangement with Dorset Day Trips. Assistance animals can be accommodated, but this must be by arrangement in advance, in case other guests or staff have allergies to the animals concerned.

7 Privacy policy – use of guest information and images

7.1 Contact details provided by guests on booking may be used for occasional future marketing purposes by Dorset Day Trips, to advise of special offers or trips, etc. However, be assured that they will not be passed to any third parties for marketing without first seeking express permission from the guests involved.

7.2 Dorset Day Trips may use photographs taken during trips for promotional purposes on its website, its social media sites (eg Facebook) or on other promotional material. Please advise staff if you expressly do not wish your image to be potentially used in this way.

7.3 Dorset Day Trips may use written feedback provided by guests for promotional purposes on its website, its social media sites (eg Facebook) or on other review websites. Where this is done, reference may be made to a first name and/or the first letter of a surname, together with the town, county/state or country a guest comes from, but no other details will be given without the express permission from the guests involved.

8 Consideration of other guests

8.1 It is Dorset Day Trips’ intention that all of our guests have an enjoyable and comfortable trip, and it is with this in mind that the following Terms and Conditions are made.

8.2 No smoking or vaping is allowed on board the Dorset Day Trips vehicle at any time. There are frequent stops on all trips when guests who wish to will have the opportunity to smoke/vape outside.

8.3 Dorset Day Trips and its staff reserve the right to refuse boarding to any guests who are drunk or intoxicated by other means, or who in any way use threatening or abusive behaviour to other guests, Dorset Day Trips staff or its assets, or who behave in a manner that is detrimental to the enjoyment of other guests on the trip. If already on board, we reserve the right to request that such guests leave the vehicle. These rights can be utilised at any point during the course of a trip, whenever the behaviour of the guest or guests in question becomes unacceptable in the view of Dorset Day Trip staff.

In extreme circumstances, other guests associated with the offending guest(s) may also be refused boarding/asked to leave (for example guests on the same booking). No refund (full or part) or compensation will be available in these circumstances and the guest(s) refused boarding/asked to leave will have to organise their own onward travel arrangements at their own additional expense, for which Dorset Day Trips will have no liability whatsoever.

8.4 Guests will be liable to pay for any damage or soiling they or their children/dependents cause to the Dorset Day Trips vehicle (interior, exterior or mechanical), together with any subsequent loss that may be caused to the business. The charge for cleaning the interior of the vehicle will be a minimum of £100 which will be requested from the guest or deducted directly from the credit or debit card used to pay for booking of the guest(s) concerned. In extreme circumstances point 8.3 may be invoked, at the discretion of Dorset Day Trips staff.

8.5 In certain circumstances (depending on the nature of the trip concerned), a refundable deposit may be deducted in addition to the booking fee. This will be made clear in the details of the trip and guests advised quite clearly should this apply. This deposit would only be retained, wholly or in part, by Dorset Day Trips in circumstances where the cost of cleaning or repairing the Dorset Day Trip vehicle has to be covered. The deposit will be fully refundable where no soiling or damage to the vehicle occurs.

8.6 Unfortunately no dogs or any other pets are allowed on the trips, unless by arrangement or they are registered assistance animals (this must be advised to Dorset Day Trips in advance, in case other guests or staff have allergies to the animals concerned).

8.7 The consumption of alcohol and hot drinks onboard the Dorset Day Trips vehicle is not allowed. Also refer to points 8.3 and 8.4.
